1. Agree on the celebration before viewing venues

Write down four things first:

• Your realistic guest-count range.
• The type of celebration: intimate dinner, ballroom reception, beach ceremony, garden event or a multi-day wedding.
• The emirate or travel area that works for you and your guests.
• The maximum total amount you can spend on the venue, food and venue-required services.

A venue tour is more useful when you can give the coordinator a date range, estimated attendance and event format.

2. Match the venue to your wedding format

Intimate lunch or dinner

Private dining rooms, restaurants and smaller hotel spaces can feel warm and complete without using décor to fill an oversized ballroom. Check minimum spend, privacy, music rules and whether other guests will share nearby areas.

Ballroom reception

Ask for the seated capacity for your proposed layout, not the venue’s maximum standing capacity. A stage, dance floor, buffet, production equipment and camera positions all reduce usable space.

Beach, garden or desert wedding

Outdoor settings need a written heat, wind and rain plan. Confirm the indoor alternative, the time at which a weather decision must be made and whether moving the setup creates an extra charge.

Multi-day or multicultural wedding

Check whether the venue can support more than one function, different catering requirements, prayer or changing rooms, family privacy, supplier access and late-night changeovers.

3. Compare the complete cost

Ask each venue for a written quotation based on the same guest count and date. It should identify:

• Venue hire or minimum food-and-beverage spend.
• Menu, beverages and service style.
• Furniture, linen, tableware and staffing.
• Stage, dance floor, sound, lighting and power.
• Décor restrictions and approved-supplier fees.
• Service charges, taxes, deposits and payment dates.
• Overtime, corkage, cake, cleaning, security and parking charges.
• Accommodation or room-block terms, if relevant.

The lowest package price is not always the lowest final cost.

4. Walk through the guest journey

Follow the route a guest will take: arrival, valet or parking, reception, ceremony, dinner, washrooms and departure. Check lift access, wheelchair routes, distance between spaces, signage, waiting areas and transport for guests staying elsewhere.

For destination weddings, ask when rooms can be reserved, how luggage will be handled and who coordinates airport or hotel transfers.

5. Check the operating rules

Ask who is responsible for event approvals, supplier access and venue documentation. Confirm:

• Setup and dismantling times.
• Sound and entertainment limits.
• Photography, filming and drone rules.
• Fire, candle, smoke, confetti and hanging-installation restrictions.
• Food-allergy and dietary procedures.
• Security, privacy and guest-list controls.
• The named venue contact on the wedding day.

Ask the venue or organiser to identify the approvals needed for your exact celebration and who will obtain them. A hotel’s permission to host an event does not establish your eligibility for a legal or religious marriage. 6. Ask to see your actual space

Marketing photographs may show a larger room, a different season or a setup created by an outside production company. Ask to view the room you would receive and request a floor plan for your expected number of guests.

If possible, visit at a similar time of day. Notice natural light, outside noise, traffic, temperature and the route between indoor and outdoor areas.

7. Score every venue using the same shortlist

Create a simple comparison with these headings:

1. Guest fit and layout.
2. Total written cost.
3. Food and dietary fit.
4. Location and transport.
5. Privacy and cultural requirements.
6. Weather backup.
7. Supplier flexibility.
8. Contract and cancellation terms.
9. Confidence in the venue team.

Discuss the scores together before paying a deposit. A beautiful venue that creates serious logistical or budget problems is rarely the right venue.

A comparison you can copy into your shortlist

For each venue, record confirmed, extra cost or not available against these five items. Leave unanswered items marked unknown, not assumed included.

• Space: exact room, seated floor plan, exclusive-use hours and any shared entrances.
• Food: menu and tasting arrangements, dietary handling, beverages and the final guest-count deadline.
• Production: stage, lighting, outside suppliers, setup time and the indoor weather alternative.
• Guest stay: room-block minimums, release date, transport and who pays unused-room charges.
• Contract: itemised total, deposit, later payments and written change or cancellation terms.

If two packages cover different things, add the missing services to each comparison before choosing. A room hire quote and a venue-plus-catering package are not comparable at face value.

What if you do not like the tasting menu?

Before paying, ask when the tasting takes place, whether it is charged and what changes are allowed afterwards. Request a written record of the dishes, alternatives and any extra costs you approve. Do not assume a tasting automatically gives you a right to cancel or receive a refund; check the agreement before committing.

Questions to ask before signing

• Is our preferred space guaranteed by name in the contract?
• What happens if our guest count changes?
• Which services must be purchased from the venue?
• What is the outdoor backup and when is it activated?
• Are all taxes, service charges and minimum spends shown?
• What are the cancellation, postponement and refund terms?
• Who holds responsibility for permits and supplier approvals?
• What happens if the venue cannot provide the contracted space?
