How to Choose a Wedding Planner in the UAE: 5 Checks

Choose a wedding planner by checking relevant experience, a clear scope, transparent fees and who will actually run your day. Compare recent work and written proposals, not just attractive social-media photographs. Full planning is not essential for every wedding; the right level of support depends on what you have already organised.

1. Decide which help you need

• Full planning: ask about venue research, budget tracking, supplier selection, design, guest logistics and event management.
• Partial planning: list the tasks you have completed and the gaps you want the planner to take over.
• Final-stage coordination: confirm the handover date, contract review, rehearsal, supplier check-ins and wedding-day hours.
• Venue coordination: ask what the venue’s own coordinator manages and what remains your responsibility.

Do not assume a hotel coordinator manages outside suppliers, guest transport or another venue. Equally, a small celebration may work with a clearly assigned coordinator rather than a full-planning contract.

2. Check experience that matches your celebration

Ask to see a complete recent wedding, not just a few styled photographs. Look for a comparable guest count, number of events and venue type. Request a reference the couple has agreed to share.

4. How many other weddings will the team handle on our dates?
5. What happens if the lead planner becomes unavailable?
6. Who resolves supplier delays or an outdoor-to-indoor change on the day?

If you live outside the UAE, agree meeting times across time zones and which decisions require a visit. Ask for a sample planning schedule or anonymised event timeline. That is more useful than an assurance that everything will be handled.

4. Compare scope, fees and supplier relationships

Ask whether suppliers pay the planner a commission or whether markups apply. Confirm who signs supplier contracts, receives invoices and approves spending. A preferred supplier relationship does not automatically mean a discount or a better fit for your wedding.

Before paying, have the agreement identify:

• the lead planner and supporting team;
• included services, deliverables and revision limits;
• payment milestones and the approval process for extras;

5. Test the proposal against your real brief

Give each shortlisted planner the same date range, guest count, event list, budget range and priorities. Then compare the answers to three practical situations:

• Our guest count changes: who revises the catering, floor plan and cost?
• Our outdoor venue cannot be used: who confirms the backup and supplier changes?
• A supplier proposes a substitute: who checks it against our approved design and gets our consent?

Look for a clear owner and a written process, not a promise that problems never happen.
