Turn every sales promise into a contract term
The signed agreement should identify the space, schedule, complete price, services, restrictions and outcome if plans change.
- Reconcile deposits, minimum spend, guest-count changes, service charges, VAT, supplier fees and overtime.
- Record cancellation, postponement, menu revision, weather backup, damage and venue non-performance terms before paying.
A wedding venue proposal can look complete while leaving out the clauses most likely to cause stress later. Before paying a deposit, make sure the signed contract describes the exact space, date, services, price and remedies—not only the package headline.

1. Identify the contracting parties and event
Check the venue’s legal name, the couple or payer’s correct name, event date, access time, guest period, finish time and every room or outdoor space included. Attach the final floor plan where possible.
If the venue can substitute a room, state when and under what conditions. Confirm whether setup, rehearsal, prayer, bridal preparation, photography and breakdown time are included.
2. Reconcile every cost
The written total should show:
- venue or minimum-spend charge;
- per-person food and beverage pricing;
- service charges and VAT;
- municipality or tourism-related charges where applicable;
- security, valet, cleaning and staffing;
- power, rigging, internet and production fees;
- outside-supplier, corkage or cake fees;
- accommodation and room-block terms; and
- overtime rates and payment deadlines.
Ask what happens if the guest count rises or falls and when the final guaranteed number is due.
3. Cancellation, postponement and force majeure
Do not rely on “non-refundable” as the whole explanation. The contract should state the deposit schedule, cancellation charges by date, postponement options, credit validity, date-change fees and what happens if the venue cannot perform.
Force-majeure wording should explain notice, rescheduling, refunds or credits and treatment of third-party costs. Change-of-mind refunds are not automatically guaranteed. UAE consumer-protection law covers goods and services, but the facts and contract still matter; obtain advice for a dispute.
4. Menu, tasting and service standards
Record the menu, dietary and allergy process, portion or service format, children’s and supplier meals, beverage package, tasting date and deadline for changes. Ask who approves substitutions if an ingredient is unavailable.
If you dislike the tasting, the contract should explain how many revisions are included and what happens if no menu is agreed. A verbal promise to “fix it later” is difficult to manage.
5. Décor, production and outside suppliers
Confirm load-in access, approved suppliers, ceiling and floor protection, candles, confetti, smoke or haze, pyrotechnics, power loads, rigging, sound limits, rehearsal and removal deadlines. State who obtains and pays for required approvals.

6. Weather and outdoor backup
An outdoor wedding needs a named indoor alternative, its capacity and layout, the decision deadline, who makes the call and any extra cost. Check heat, wind and rain plans as well as guest comfort and supplier access.
7. Damage, insurance and responsibility
Review deposits, damage assessment, supplier insurance, guest conduct, lost property and each party’s liability. Ask the venue to define what counts as damage and when a security deposit will be returned.
8. Put every negotiated promise in writing
If a benefit affects your decision—suite, tasting, room upgrade, extra hour, outside caterer, décor waiver or backup room—add it to the signed contract or an authorised addendum. Keep the final proposal, annexes, payment receipts and emails together.
