A mountain excursion or an island address does not automatically mean a private wedding venue. Confirm event permissions, access, catering and guest facilities before building your plans around a particular location.

Compare the whole stay, not just the reception

Ask each shortlisted venue for a written proposal covering:

• the named event spaces and seated capacity with your stage and dance floor;
• menu, tasting arrangements, beverages and dietary requirements;
• room-block rates, minimum stays, release deadlines and unused-room liability;
• airport transfers, journeys between functions and late-night transport;
• weather backup, setup hours, supplier access and any additional charges;
• deposits, final numbers, payment dates and cancellation or postponement terms.

Do not assume décor, entertainment, guest activities or a honeymoon stay are included because a package is described as all-inclusive. Ask for the inclusions for your date.

A simple two-day guest plan

This is an example to adapt, not a venue package:

1. Arrival day: allow time for the actual flight and transfer arrangements, hotel check-in and rest. Keep a welcome meal optional for guests arriving late.
2. Wedding day: share the ceremony and reception locations, pickup times, dress guidance and a local contact. Build in time for photographs, changing outfits and moving between spaces.
3. Departure: confirm check-out, luggage arrangements and who is paying for transfers or an extended stay.

Ask guests about accessibility and dietary needs before finalising the venue. Share which rooms, meals and transport you will cover so nobody has to guess their costs.

Plan outdoor comfort and family requirements

Agree who makes the weather decision and when. Ask the venue to show the indoor alternative with your guest count, not just confirm that a backup exists. Discuss shade, lighting, wind-sensitive décor and the walking surface for guests.

For several functions, list the needs of each event separately: catering, changing rooms, prayer space, privacy, music and supplier access. Explain what your families want rather than relying on a broad cultural label.
